Air Travel Specialist

Position Objective:
To effectively coordinate and finalize air transportation for University groups and individuals within the limits of an acceptable budget and schedule, with the ultimate goal of providing an exceptional travel experience. Maintain strong relationships with airline personnel and staff through positive and professional communication. To function as a contributing member of the Airspace Department through effective communication and assisting others as needed. Be prepared to extend your time commitment during certain busy season periods as identified by your manager.
Qualifications:
The ideal candidate:
Bachelor's degree preferred.
Demonstrates, a strong ability to manage multiple tasks simultaneously, uncompromising organization and attention to detail, effective time management.
Possesses superior negotiating skills.
Demonstrates strong verbal communication and telephone skills.
Excellent ability to follow instructions, proven ability to meet deadlines, and effectively manage large amounts of information.
Is goal-oriented and thrives in a fast-paced environment. Demonstrated ability to meet individual and team goals.
Proactively communicates and develops positive working relationships with both internal and externals customers.
Demonstrates willingness to research and present viable options to achieve the best possible fare and schedule.
Willingness to travel both domestically and internationally as requested by International Air and Visa Manager.
Essential Functions:
Process requests from Sales and Account Managers for group airline travel.
Research and negotiate airfares and optimal schedules for individual group quotes in Worldspan, a Global Distribution System. In addition to Worldspan, utilize internet sites such as Kayak for flight research.
Ensure best flight route at the best price is booked; reworking air space is critical and a great opportunity to save money for the company to be reinvested in the team.
Communicate directly with individual students/faculty to quote and book their preferred routing for individual air tickets.
Monitor and research all possibilities for group travel and prepare options in the event of a schedule change.
Build and maintain strong relationships with group air desks and Capstone team members.
Book group air seats and process contracts directly with the airline. Proof what has been received for accuracy (dates, flights, airport, count, etc.).
Manage airline contracts for contractual due dates. Responsible for handling airline deposits and refunds. Documenting all airline transactions accurately.
Maintenance of records system (queues) and keeping proper and accurate documentation with each group.
Provide participant names to the airline carriers and process ticketing for groups and individuals within Worldspan.
Create a manifest with all pertinent information (flights, names, ticketing info. etc.).
Accommodate participants that wish to deviate and/or upgrade from the group itinerary.
Update participant reservations with meal, seat, and frequent flier requests.
Monitor and communicate schedule changes or cancellations up until departure.
Provide excellent customer service to the client and internal Capstone Team Members.
Partner with Finance and Account Management teams for Pre-Trip Auditing.
Act as resource to Tour Central or other University Division staff as needed for after-hours emergencies.
Accommodate ticket exchanges, name changes, cancellations, and voids within the given parameters.
Help develop and maintain air training documents.
Willingness to expand knowledge base and take on additional duties as the University Division expands.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
